Archives Officer

This is an opportunity to assist with a well regarded pharmaceutical organisation’s Corporate Archives operations. Reporting to the Corporate Archivist you will be involved with records appraisal, arrangement, description, sentencing, retention and disposition as well as long-term preservation and access, secure destruction and rights management of records according to relevant industry and regulatory standards.  
Assist in the administration and operations of the global digital corporate memory archive program
Assist in capturing, preserving and making corporate memory assets (documents, artefacts, photographs and AV materials) accessible and useable into the future. This includes processing, accessioning and creating metadata for selected historic assets
Contribute to developing an employee facing internal portal to corporate memory assets
Assist in developing policies, procedures and processes to manage the corporate memory collections and assist in actively harvesting selected contemporary content for preservation and to assure access into the future
Manage the archives and records management operations for the records lifecycle of physical/analogue records. Provide analysis, metrics, reporting and advice on Records Management and Archives operations
Manage external vendor relationships and contracts
Assist in re-housing, arranging, and describing archival materials in all formats in accordance with professional standards and best practices, including the creation of database records and finding aids
Support internal and approved external stakeholders by providing hands-on research assistance, answering reference questions, and providing access to materials.
Digitize and/or photograph archival materials as required
Assist in the development of Archives and Records Management procedures, guidelines & staff training modules Manage Deeds & other confidential business records
Provide advice to staff on the appraisal and sentencing of records using global retention schedules
Contribute to delivering staff training in Archives and Records Management systems, processes and procedures
Formal qualifications in Information Management with a specialty in Archives and Records Management
Substantial experience in Archives and Records Management
Experience in the pharmaceutical industry
Well-developed knowledge and expertise in Archives and Records Management principles and their practical application
Electronic document & records management systems (EDRMS) experience
Experience in operating a GXP, GCP, GCSP, GLP, GMP compliant Archives program
Highly effective verbal and written communication skills
Ability to lift boxes up to 10kgs and climb ladders
