Manager - Portfolio Management

An exciting opportunity exists for an experienced ePMO manager to fill this temporary but crucial position for two months whilst we find a suitable permanent incumbent. This could therefore be an opportunity to prove yourself as irreplaceable and secure the permanent position as well.
The purpose of this role is to:
  • To lead and manage the effective and efficient operation of the enterprise Portfolio Management Office (ePMO)
  • To provide a portfolio / program / project delivery centre of excellence that demonstrates value for money and provides safe and certain delivery of projects
  • Application of the Project Management System (PMS) and future Project, Program & Portfolio Management System (P3MS) alongside associated tools & applications.
Key Accountabilities
  • Lead and manage the enterprise Portfolio Management Office (ePMO) team
  • Manage and coordinate cross-functional portfolio management activities
  • Facilitate regular team meetings and 1-on-1 coaching and feedback sessions for direct reports
  • Upgrade and improve the current Project Management System (PMS) to a new Project, Program & Portfolio Management System (P3MS) and supporting governance framework
  • Consults with all members of the project management community on the P3MS, advises on tailoring the templates and procedures to achieve appropriate outcomes given the scale and complexity of the project
  • Undertakes the lead coordination and secretariat role for the monthly Portfolio Governance Forum (PGF) including review & approval key documents, project performance review and escalation of key issues and risks
  • Attend and contribute to a range of external stakeholder governance meetings
  • Integrate across the ePMO function Planning & Scheduling, Cost Management, Safety & Risk, and Communications & Engagement activities
  • Induct and train project managers, project sponsors and asset custodians in the use of the current PMS and the future Project, Program & Portfolio Management System (P3MS).
  • Facilitates appropriate accreditation for our project managers with AIPM / PMI /OGC certification and accreditation
  • Hosts regular internal Project Management Communities of Practice to promote shared knowledge and expertise
  • Acts as the primary point of contact with external and internal clients for the ePMO.
Knowledge & Experience             
  • Relevant Tertiary qualifications that support knowledge in either project delivery or business process or engineering
  • At least 10 years’ relevant industry experience in the successful delivery of portfolio / programs / projects
  • Demonstrated experience in complex enterprise Portfolio Management Office environment in line with industry best practice
  • Proven experience and leadership in senior level in government, infrastructure delivery and/or public transport organisation
  • Demonstrated understanding of team leadership, and management of resources, scheduling and budget across multiple projects
  • AIPM / PMI / OGC certification or equivalent
  • Experience in developing the project management skillset among Project and Program Managers.

  • Excellent verbal, presentation and written communications skills
  • Ability to be calm and flexible under pressure and maintain personal effectiveness, as well as team, client and stakeholder relationships
  • Well-developed risk and issue assessment, analytical, problem solving and decision making skills
  • Ability to summarise complex issues and concepts accurately and effectively for senior management
  • Strong personal organisational and project management skills
  • Demonstrates the ability to train project managers in the use of appropriate project management skills and methodology
  • Ability to understand business systems, practices and processes and contribute to development of a plan for business improvement delivering efficiencies
  • Strong computer Excel and SharePoint skills and experience in portfolio / program / project management software systems would be an advantage.
