Personal Assistant- Temp to Perm opportunity

An urgent opportunity has arisen for an experienced Personal Assistant looking to utilise and develop the skills by joining a leading in house team on the North Shore.

Working closely with another Personal Assistant you will support 2 Legal Partners.  As the PA to the Partners, your duties will largely focus on diary management, administrative support for your team’s legal matters, drafting and amending documents with a high level of accuracy and attention to detail, full range of filing from hard copy to court filing and a range of miscellaneous projects as advised by the Operations Manager or your Partners.

Your broader firm duties will include assisting the Operations Manager in managing support team communication and being a key link between the Operations Manager and your team, and th support between the Business Development function and your team Partners.

Day to day duties include:

First and foremost core support to two Partners for all matter related work and ad hoc work as instructed;

  • Document production: Drafting documents for Partners and all typing requirements for Partners;
  • Assist in general team coordination and organisation;
  • Assist Operations Manager in managing and supervising the daily workflow of junior team assistant;
  • Co-ordinating diaries and arrangements for travel bookings;
  • Facilitating information flow: emails, telephone messages, voicemail, faxes, mail, other messages and key reports in a timely manner;
  • Acting as first point of call to all team members for administrative support;
  • Internal diary management: book meetings and appointments for Partners and team and communicate with external parties;
  • Preparing meeting papers and documents on weekly and fortnightly schedules;
  • Liaising with staff and clients on behalf of Partners when required;
  • Expenses: Prepare expenses for Partners as required;
  • Legal matter filing - Court filing, all manual fling and electronic filing for Partners and overflow filing support for solicitors;
 

Essential criteria:

  • Excellent time management skills;
  • Preferably advanced skills in Microsoft Office applications: Word, Excel, PowerPoint and Outlook;
  • Experience communicating with different levels of staff;
  • Experience working with other or junior administrative team members;
  • High attention to detail and ability to remain focused on the task at hand;
  • Ability to follow instructions with 100% accuracy;
  • Ability to multi task and flexibility to change pace and priority at a moment’s notice;
  • Excellent typing skills, at least 60 WPM and experience with dictation and transcription;
